Whistleblower Function
About the Whistleblowing Function
Bringing irregularities and misconduct to light is important. Below is a description of our whistleblowing function and how to use it. The system is secure and anonymous, allowing you to report suspected violations without risk of retaliation.
The whistleblowing function is designed to provide maximum protection for your anonymity through encrypted communication via ProtonMail, a Swiss email service focused on privacy and security. You do not need to provide personal information to create a ProtonMail account.
The whistleblowing function is supervised by an independent party, who also handles incoming reports. This party operates outside of the organisation and is the only one with access to the whistleblowing inbox and its incoming messages. By law, you are protected from retaliation when reporting misconduct in good faith, and this system also allows you to remain completely anonymous throughout the process.
What Can Be Reported?
The whistleblowing function is intended for reporting serious misconduct such as:
-
Financial irregularities and corruption
-
Serious environmental offences
-
Serious deficiencies in workplace safety
-
Serious cases of discrimination, harassment, or abusive treatment
-
Other serious violations of laws or our internal policies
How to Use the Whistleblowing Function
Step 1: Create an Anonymous ProtonMail Account
Note: The recipient address is configured to accept emails only from “@proton.me” addresses to prevent spam. It is therefore important to follow the instructions below.
-
Create your account with any username and password. Your username will be visible, so choose one that does not reveal your identity. Keep the default domain “@proton.me”. Click “Create account”. Remember your login details for future anonymous correspondence.
-
Select the free version, “Continue with Free”.
-
Verification: Complete the CAPTCHA (confirm that you are not a robot) and click “Next”. You may optionally use an existing email address for account recovery, but this step can be skipped. Regardless, we will only see the ProtonMail address you use to contact us.
-
Display Name: Keep the default (same as your username).
-
Configure a recovery method: This is optional. You can skip this step by selecting “Maybe later”.
Step 2: Submit Your Report
-
Log in to your new ProtonMail account.
-
Create a new message.
-
Enter the recipient address: etik.peges@proton.me
-
Describe the misconduct as thoroughly as possible, including:
-
What happened?
-
When and where did it occur?
-
Who was involved?
-
Are there any witnesses?
-
Is there documentation or other evidence?
-
-
Send the message.
Step 3: Follow-Up
-
You will receive an automatic confirmation that your report has been received.
-
The independent recipient of whistleblowing reports will review your case.
-
If additional information is required, the recipient will contact you via your ProtonMail address. Keep access to your ProtonMail account for continued communication.
-
Appropriate measures will be taken based on the content of the report.
Submitted reports are handled confidentially and with the utmost care. We appreciate your commitment to maintaining a safe and ethical organisation.
